Volunteering at RMS

VISITORS

·   If they will leave carpeted lobby area, they MUST sign in  and wear a sticker

 

·   If they are here for a P.P.T. … send them to see Maryann in Guidance

 

·   If they are here to see T.J. or JASON … find out their name and let Cathy know they are here

 

·   If they are here to see a TEACHER … call the teacher’s room and tell them the visitor is here

  

ITEMS BROUGHT IN FOR STUDENTS:

·     Make sure the student’s name is on the item before the parent/guardian leaves

 

·     Fill out a STUDENT ITEM form (located on top of file cabinet behind Helene’s desk) and attach it to the item

 

·     Let Helene know an item was brought in and put it on the table next to Helene’s desk

  

PARENT/GUARDIAN COMES TO PICK UP THEIR CHILD

·     Ask if student knew they were being picked up early:

 

If YES

o    Parent/guardian signs student out on the Early Dismissal log in Guidance

o    Parent/guardian waits for student in carpeted lobby area

 

If NO: 

o    Parent/guardian signs student out on the Early Dismissal log in Guidance

o    Parent/guardian waits for student in carpeted lobby area

o    Look up the student’s schedule, call their classroom and have the teacher send them down for dismissal

  

PARENT/GUARDIAN CALLS AND WANTS STUDENT TO GO HOME OTHER THAN ON THEIR BUS AS USUAL BUT DIDN’T SEND IN A NOTE

Examples:  someone other than parent/guardian will pick student up, student can walk, student can go on a different bus, student can stay after school for event/dance, etc.

·     Tell parent/guardian that office staff can not take verbal permission

 

·     Tell parent/guardian they can either:

o    FAX a note to 264-6638

o    bring in a note to Guidance

o    talk to Jason or T.J. for approval

  

PHONES

·   Answer three “Office” lines on black phone … and the Guidance line only if it actually rings in the Main Office

 

·   Answer the gray phone on Helene’s desk if she is not at her desk … this will be someone calling from inside the building

 

·   PHONE MESSAGES need to include:

o    DATE and TIME of call

o    NAME of caller

o    PHONE NUMBER of caller

o    CLEARLY WRITTEN MESSAGE

o    YOUR NAME

 

·   Give  written out phone messages to Helena or Cathy

  

·   If the call is  for MR. SALUTARI

o    Tell Cathy there is a call for T.J. … if Cathy is not available, tell Helene

o    If neither Cathy or Helene are available, take a message and give it to Cathy

 

·   If the call is for GUIDANCE

o    Walk across to Guidance and tell Maryann what line the call is on

o    If Maryann is not available, take a message and put it on Maryann’s desk

 

 

·   If the call is for the NURSE

o    Walk across to the Nurse’s Office and tell the nurse what line the call is on

  

·   If the call is for a TEACHER or INSTRUCTIONAL ASSISTANT

o    Take a message … give  the message to Helena or Cathy

o    If the caller is family/friend/daycare/doctor and it is an emergency situation, call the classroom and tell them which line they have a call on

o    ask Helene or Cathy to check  the Instructional Assistants schedules to find out which classroom to call

  

·   Calls for STUDENTS  –

o    Take a message

o    Give the message to Helene

o    If the parent/guardian insists on talking to student or it’s an emergency, call the classroom and have the teacher send the student to the office for the call

 

LOOK UP A STUDENT’S SCHEDULE:

·     Sign on to the computer

  

·     Click on the POWERSCHOOL ADMIN icon

 

·      Sign on

 

·     Under BROWSE STUDENTS, click on the alphabet letter that starts the student’s last name ... a list of all student names that begin with that letter will appear

 

·     Scroll down the list until you find the name of the student you want

 

·     Click on that student’s name and their schedule will appear

 

·     Find the column for the correct date and scroll down the schedule to the correct time (the schedule blocks list the CLASS name, TEACHER name, the ROOM NUMBER of the class and the times for that period

  

CALL A STUDENT TO THE OFFICE FOR T.J. OR JASON

·   Look up the student’s schedule on the computer (directions are above)

 

·   Call the classroom and ask for the teacher

 

·   Ask the teacher if they have the student in class

 

o    if THEY DO, tell them T.J. or Jason want to see the student and to send the student to the office … the student needs to come now and can not wait until the end of the period

 

o    if THEY DO NOT, tell them the schedule shows that the student is with them at this time and ask where the student is ... then call that that classroom
